Reduce missed appointments with WhatsApp

Blastak operating procedure to reduce no-shows using confirmations, reminders, and post-visit follow-up.

Objective

Set up a clear WhatsApp workflow that reduces no-shows without increasing manual workload.

Prerequisites

  • Have at least one active service in Blastak.
  • Have defined opening hours and business timezone.
  • Have a WhatsApp contact number configured in settings.

Steps

  1. Confirmation mode is instant by default; focus on reminders and post-visit follow-up.
  2. Keep 24h and 2h reminders enabled; only enable 30m if your business justifies it.
  3. Make sure client messages always include the business name and the manage link.
  4. Track the confirmation rate and no-show share weekly in the dashboard.

Expected outcome

Clients confirm earlier, no-shows decrease, and the calendar stays reliable without constant manual follow-ups.

Troubleshooting

  • If confirmations drop, check WhatsApp template status and fallback rates in the health metrics.
  • If clients miss reminders, re-check the business timezone and the quality of phone numbers entered.
